Employee Offboarding Pipeline
Terminated status triggers access removal, file transfer, mail forwarding, farewell post and archiving.
This flow is being documented
Architecture and use case are already public. Build instructions and screenshots follow as the flow is finalised.
Use case
Offboarding failures are a security problem, not an admin one: forgotten accounts and orphaned files. Driving it from a single status change guarantees every revocation task is created and tracked.
Who uses it
HR operations, IT security and line managers.
Real scenario
HR sets Status to Terminated. IT receives the revocation list, the leaver's OneDrive files transfer to the manager, mail forwarding is configured, a farewell message posts to Teams and the contract moves to the archive library.

How it works
A 'When an item is modified' trigger watches the Employees list for Status = Terminated. It then creates the IT access-removal tasks in Planner, initiates the OneDrive file transfer, sets email forwarding, posts a farewell to Teams and moves the contract file to the Archive library.
Step-by-step build
- 1
Trigger: SharePoint 'When an item is created or modified' on the Employees list, with a Condition that Status equals Terminated.
- 2
Add a trigger condition so the flow only runs on the actual transition, not on every edit.
- 3
Create the IT access removal checklist in Planner with one task per system, assigned to the IT bucket.
- 4
Notify IT by email and Teams with the leaver's UPN and last working day.
- 5
Initiate the OneDrive/SharePoint file transfer to the manager and log the transferred folder path.
- 6
Configure email forwarding via an IT task or a Graph HTTP request, depending on your governance model.
- 7
Post a farewell message to the team channel and move the contract file to the Archive library with Move file.
Copilot prompt
Paste this into Power Automate Copilot to scaffold the flow.
Create an automated flow triggered when an item in the SharePoint Employees list is modified and Status equals Terminated. Create IT access removal tasks in Planner, email and Teams-notify IT, initiate a file transfer of the leaver's documents to their manager, request email forwarding, post a farewell message in the team channel, and move the contract file to the Archive library.
